Manager of Operations and Finance

ORGANIZATION OVERVIEW

Position Overview:

As our Manager of Operations and Finance, you will work at the heart of our organization. You will ensure we have the tools, processes, and data we need to effectively deliver our mission.  The ideal candidate will have a sharp operations mind, a keen eye for detail, and will subscribe to the belief that no task is too big or too small. You’ll be skilled in finance, database management and project management. Additionally, you’ll have a positive mindset and will display a proven ability to develop and maintain an environment of trust, diversity, and inclusion within a team.  You will work in close partnership with our Chief Operating Officer.

Location: New York City. Must be available weekdays with office hours from 9:00 am ET to 6:00 pm ET. Please note that there will be longer hours in the month preceding the annual conference and shorter summer hours. Once offices re-open this position is required to report to the office 5 days a week and cannot be a ‘virtual’ position.

Direct Report: Chief Operating Officer (COO)

Schedule: 9 AM – 6 PM with shorter summer hours

Salary: $75,000 - $85,000, with full-time benefits including health and retirement

Responsibilities:

Financial Administration: Help ensure the financial health of the organization.

Central to your role will be the management of Confluence’s day-to-day finances. You will collaborate closely with our outsourced accounting team, ensuring we are able to close the books on-time each month, through timely processing of accounts payable and receivable.  You will ensure the Confluence team can easily access budgets and track expenditures against grants. Through your exemplarily record keeping, you will help us to deliver clean audits.

Systems & Database Administration: Confluence is only as strong as our operational base.

Our CRM, project management, and communications tools are critical to our team’s success. In this role you will collaborate closely with the COO to ensure they are fit for purpose and to facilitate our team the training and support our team need, so they can use them effectively. You’ll also serve as our database administrator, working to ensure that data can be accessed by the team in a form that suits their needs, that it is secure and recoverable, and to help the team troubleshoot issues, as they arise. In your first few months, you will have the opportunity to support the role out of a new CRM and will help embed new membership and event management processes throughout the organization.

Conferences & Events: Confluence builds community through convening extraordinary, industry-building events in collaboration with our membership.

Every member of the Confluence team plays a critical role in the success of our annual conferences are events. As the Operations and Finance Manager, there are many aspects of your role that support these projects. You’ll also have the opportunity to roll up your sleeves and help our small but mighty team deliver many aspects of our events planning and execution. While they have been virtual during the pandemic, you will need to be comfortable traveling to these events, once they return to in-person.

Qualifications:

  • Five+ years’ experience in a finance and operations management role.
  • Quickbooks experience essential.
  • Salesforce experience a plus.
  • Experience with financial management and budgets, essential.
  • Self-directed and able to work independently, with strategic problem-solving ability.
  • Meticulous about details and follow-up; subscribes to the belief that no task is too big or too small.
  • Great at organizational change and project management, able to take an idea from concept to completion.
  • Excellent relationship builder: able to communicate with firmness and warmth, and to demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders.
  • Must be able to demonstratable the ability to maintain confidential/sensitive information.
  • Ability to perform under pressure, with patience and a sense of humor
  • Conference management experience, highly prized.
  • Experience in philanthropy, working with high net individuals, or investment managers, a major plus.
  • Bachelor’s degree required. Graduate degree in nonprofit management, small business, or graduate experience equivalent, highly prized.
